Summary

Every failed convert job logs a second, spurious ERROR: unable to cleanup folder: … No such file or directory. This PR makes the job-folder removal treat NotFound as success (remove_job_folder; cleanup_folder keeps the disable_cleanup gate and delegates to it). It also removes the duplicate cleanup inside run_lok_conversion, so process_message is the only code that owns the job folder.

This PR does not stop the "… is not a supported model_file_type::FileType" errors. Those come from deploy skew, and main already handles them; see "Root cause" below. Stopping them requires deploying convert-service, which this PR does not do.

Datadog evidence (prod, last 14 days)

convert-service error logs

Site Message Count
runner.rs:38 error processing message 17,559
convert.rs:71 unable to cleanup folder (ENOENT) 17,559
convert.rs:231 conversion timed out 1,502
  • The cleanup error pairs 1:1 with every failed message. That includes LibreOffice timeouts, where run_lok_conversion had already removed the folder.
  • The unsupported-type signature first appears on 2026-10-07; it has zero occurrences before then. On each day since, the upload finalizer's requested legacy office upgrade count is exactly half the unsupported-type line count: 3,505 vs 7,020, 1,003 vs 2,006, 694 vs 1,387, and 2,560 vs 5,121. The queue has maxReceiveCount: 2, so each message fails twice and is then dead-lettered.
  • Example: message e67cd973-… failed with com/01a1276e-…/9208809 is not a supported … at 20:09:08Z and again at 20:09:38Z.

Root cause

  • feat(upload): import Office folders, legacy Office files and .xlsm #7594 (merged 10-06) has the upload finalizer enqueue legacy Office upgrades. Their from_key is a versioned key with no extension, {owner}/{document_id}/{version_id}, and the file types travel in new from_file_type / to_file_type fields.
  • convert-service deploys have been disabled since chg(ci): disable convert service deployment #5733 (08-18); it is the only service with deploy_enabled: false. Prod has run a single task definition (convert-service-2528de88, rev 1) for the whole window, and its log line numbers match the 08-18 code.
  • That build ignores the new fields and takes the text after the last . as the extension. For an owner such as macro|x@foo.com, the "extension" becomes com/<doc>/<version>. The conversion fails before the job folder exists, so the cleanup then logs ENOENT.
  • main already resolves the type correctly (resolve_file_type).

Follow-up needed (ops, not in this PR)

  1. Deploy convert-service from main via "Deploy Service (Generic)", or re-enable its deploys. First check why chg(ci): disable convert service deployment #5733 disabled them. Undeployed changes since then also include feat(convert-service): dual-mount convert-service on the shared gateway #6131 and refactor(s3_key): owner segment is a principal string; consistent encoding #6768.
  2. Then redrive convert-service-dlq-prod, which has 14-day retention, before the 10-07 messages expire around 10-21. About 7.8k legacy Office upgrade requests have failed since launch.

Verification

  • cargo test -p convert_service, both with default features and with --all-features (what CI's nextest uses): 14 passed, plus the 6 LibreOffice tests that are #[ignore] by design. The job_cleanup tests cover three cases: a populated folder is removed, a missing folder is OK, and other I/O errors still surface.
  • The tests call remove_job_folder directly because --all-features enables disable_cleanup, which makes cleanup_folder a no-op. The first revision of this PR tested cleanup_folder and failed in CI for that reason.
  • With the old removal code, the missing-folder test fails with No such file or directory (os error 2), which is the prod error.
  • just check passes. cargo clippy -p convert_service --all-targets --all-features reports no warnings.

Jobs that fail before creating their folder (bad file type, S3 read,
unsupported pair) and jobs whose LibreOffice run already removed it logged
'unable to cleanup folder: No such file or directory' at ERROR for every
failed message. cleanup_folder now treats NotFound as success, and
process_message is the single owner of the job folder.

📝 Summary

Summary by CodeRabbit

  • Bug Fixes
    • Job cleanup now succeeds when the job directory is already missing, avoiding an unnecessary cleanup error.
    • Conversion job directories are no longer removed immediately when a conversion process exits unsuccessfully; cleanup is still attempted after conversion returns.
    • Cleanup continues to report errors when a job path cannot be removed, such as when the path is a file.
📝 Summary

Walkthrough

cleanup_folder now treats a missing job directory as successful cleanup. The nonzero-exit path in run_lok_conversion no longer attempts cleanup directly. Tests cover cleanup of a populated directory, a missing directory, and a file at the job path.

Normal cleanup remains unaffected, but tests fail when cleanup is disabled. Gate the tests or give that feature separate expectations before merging.

🎯 Functional Correctness | 🟡 Minor | ⚡ Quick win

Exclude cleanup tests when cleanup is disabled.

When disable_cleanup is enabled, cleanup_folder returns before it removes or inspects the job path. removes_the_job_folder and other_failures_still_surface then fail under that feature. Gate this module with #[cfg(not(feature = "disable_cleanup"))], or give the feature-enabled tests separate expectations.

CI runs nextest with --all-features, which enables disable_cleanup and makes
cleanup_folder return early. Split the removal into remove_job_folder so the
feature gate stays in cleanup_folder and the tests cover the real removal.
