Identify Target Hospitals / Clinicians

Identify which hospitals and which clinicians at each of those hospitals will be using Flux Notes Lite. Based on that information, the target environment can be defined to generate additional deployment requirements. For example, the target browsers that need to be supported can be enumerated for thorough testing including consistent regression testing prior to each update.

ICare Data Usage

Describe how and when Flux Notes Lite should be used within the ICare data study. Basically, whenever a clinician has a patient that meeting the eligibility criteria for the Patina study, they should provide progression and toxicity values for that patient based on their interaction with them. To do that, they must use the #progression and #toxicity expressions which Flux Notes Lite can help them create. Clinicians are encouraged to always use Flux Notes Lite to create the # expressions for progression and toxicity to minimize errors and maximize gathered data.

Monitoring/availability

How do we ensure application up-time

Rollout

Rollout should be staged starting with DFCI if possible and then expanding to the number of sites necessary to support the ICare data study (up to 20 sites expected with an average of 5 patients per site).

Each new site should receive "welcome" information that provides the URL and when to use the application (See ICare data Usage. In addition, a description of how to get help should also be included (see Support).

Training

In-application training/guidance is being added to the Lite version of the application to facilitate end-user self-training. The application is relatively simple and this approach should be adequate

Support

A mechanism to request assistance or report an issue with Flux Notes Lite will be added right to the application, but the "welcome" information should also include an e-mail address and possibly a phone number.

MITRE will provide level 1 support for the study and help clinicians resolve any problems and answer any questions they have.

If defects in Flux Notes Lite are discovered, MITRE will address those defects, re-test the application, and then deploy an updated version. Updating may require some downtime, but MITRE will attempt to perform updates at low usage times and will provide a clear message that the site is down for maintenance to any user attempting to use it during an update.

Change Management Process

All identified and reported issues and enhancements will be added to the current Flux JIRA project on jira.mitre.org. The current backlog grooming and sprint planning process (Agile Scrum) will then be used to prioritize and resolve issues.
