@Marcus6275 I've converted this to an issue with the membership system.

Tools by default are owned by the space unless set as a permaloan - we could make this more explicit on the tool listing page if you think it isn't clear enough.

Listing the person who the tool is on loan from is a good idea. It should be possible to:

  • Update the column type for whether the tool is on loan to a string
  • If the field is empty, then it's not on loan
  • If the field is populated, then the tool is on loan.
  • The field would be free text (varchar) as the loaner may not be a member.

I also think we need to change the word 'Permaloan'. If its an amalgamation of permanent & loan, then what's the difference between that and a donation?

Also for tools that are loaned to the space a google doc form was created a while ago to help keep track. A field for a link to the document would also be helpful. Forum post on it: https://list.hacman.org.uk/t/tool-equipment-ownership-tracking/2868

My understanding is that:

  • A permaloan is a tool that's free for the space to use, but can be taken back by the owner at any point
  • A donation is a tool that's now the spaces, and taking it back would need consent from the membership

Who currently maintains the google drive folder for loans? Can anyone add in a new form?
A link can definitely be added in, plus a reminder when setting a tool as permaloan that they should also fill in a form for it

I understand that there is a difference between the two, but the word itself sounds like they are the same thing.

Currently the board manage that folder as they are the only ones with editing access, but anyone can take a copy of the form and fill it in for their tools. A reminder would be helpful, maybe hard to implement for existing tools now, but new ones we can try keep track of.
